Student visa processes vary by country, but the underlying skeleton is the same in every embassy on Earth. If you understand the sequence, you can apply for any of them. Here’s the universal step-by-step that works for Germany, France, the Netherlands, the UK, Australia, Canada, the US, Japan and every other major destination in 2026.

The Universal Sequence

Step 1: Conditional or unconditional admission

You cannot apply for any student visa without a written admission letter from an accredited institution. Apply to more universities than you think you need.

Step 2: Financial proof

Every country wants evidence you can fund yourself. Forms vary:

Step 3: Document apostille / legalization

Your school certificates, transcripts, and sometimes birth certificate need official authentication from your home country’s foreign affairs ministry. Allow 6–12 weeks. This is where most applications die.

Step 4: Health insurance

Almost every country requires proof of coverage from day one. Some accept your home insurance with an English translation; most require a local or international student plan.

Step 5: Embassy or consulate appointment

Book online as early as humanly possible. In peak months (July–September for Europe), slots disappear in minutes. Some countries have outsourced visa centers (VFS, TLScontact).

Step 6: Biometrics + interview

Most consulates take fingerprints. The interview is usually friendly, brief, and focused on whether you plan to return home after studies. Have a clear answer.

Step 7: Decision + entry visa

Processing ranges from 2 days (Hungary, post-document submission) to 12+ weeks (some US categories). Plan accordingly.

Step 8: Register after arrival

In most countries you must register your address with local authorities within 1–2 weeks of arrival, and convert your entry visa into a residence permit within 90 days.
